How to fill your treatment rooms: the appointment system for beauty salons

First: understand what an empty treatment room costs
A treatment room's value is calculated by multiplying available hours by average hourly spend: this gives the salon's actual revenue ceiling.
A salon with 3 treatment rooms open 8 hours a day for 6 days has 144 hours per week. If only 90 are booked, 37% of capacity goes unused. At an average hourly spend of 60 €, that is over 3.000 € a week in revenue that never comes in.
Fill open slots in real time
Open slots are filled by notifying the waiting list as soon as a cancellation frees up an appointment.

Reduce no-shows
A reminder 24 hours before and another 2 hours before sharply reduce no-shows, especially when they ask for explicit confirmation.
Active confirmation is key: a message asking clients to reply "ok" turns an uncertain appointment into a commitment, and frees up the slot in advance if they cannot attend.
Bring back clients who have not visited for months
Clients who have been inactive for 60-90 days are the most cost-effective group to reactivate, because they already know the salon.
A well-written reactivation campaign starts with the treatment they previously had, not a generic discount: the message should feel like it was written by someone who remembers them.
One calendar, always up to date
The system only works with a single calendar: phone, WhatsApp, Instagram and in-person bookings must all feed into the same calendar.
